How it works

Four steps from enquiry to stall

Most universities and colleges go from first email to first pop-up in a few weeks. We try to keep it light on your side.

Send us an enquiry

Tell us about your institution, the window you’re thinking about, and roughly how many students might come through. The form is below.

Set a date and stall plan

Together we’ll find dates that fit naturally into your calendar — open days, creative weeks or busy deadline periods — and make sure we bring the right products for your visitors.

Show us a space

Studio foyer, atrium, library entrance, students’ union, summer fair pitch. We typically need room for six trestle tables plus stock boxes, and van access to bring everything in.

We turn up and trade

Setup, staffing, card payments, takedown — all on us. You don’t need to lift a finger on the day.

We keep our requirements simple so the visit is easy to organise from your end.

Spreading the word

Promotion is a key part of making the day a success. Before each visit we’ll put together a ready-to-use poster — designed to be printed and displayed around your space, or shared digitally across social channels, newsletters and emails.

A mention in tutor emails, a social post, a poster in the studio — it all makes a real difference. The more visibility the visit gets beforehand, the busier and more successful it tends to be.

How much does it cost to host a pop-up?

Nothing. There is no venue hire fee, no commission and no revenue share. It costs the institution nothing to have us in — just a suitable space and a contact on the day.

How long does a pop-up run for?

Typically one day, though we can do two or three if footfall and timing justify it. We’ll talk through what works best for your site when we’re planning the visit.

How much space do you need?

We typically use six trestle tables plus space for stock boxes behind the stall. A foyer, atrium, corridor or students’ union area with high footfall works well. We’ll also need van access for loading in and out.

What products do you bring?

A curated selection drawn from our 600+ product lines — sketchbooks, paints, brushes, pens, markers, printmaking supplies, charcoal, pastels and more. We tailor the range to suit the disciplines taught at your institution, so do let us know what subjects you run.

How do students pay?

Card and contactless — we bring our own card reader. No cash handling needed and there is no minimum spend.

Do students need a student ID or discount code?

No. Pop-up prices are already reduced — up to 25% lower than artway.co.uk — and apply to everyone at the stall. No ID, no code, no fuss.

Can we book a recurring visit?

Yes. Some institutions book a single date first to see how it goes; others set up a regular slot each term or academic year. Both work well for us.

What if we need to cancel or rearrange?

Things change — we understand that. Just let us know as far in advance as possible and we’ll find a new date. We don’t charge cancellation fees.

We’re a summer fair or open day, not a university — can we still host?

Possibly. We’ve done large-scale summer fairs and open days alongside our campus work. Get in touch and tell us about your event — we’ll let you know whether it’s a good fit.
